Job Summary

The Events Planner & Manager serves as a strategic and spiritual leader, responsible for envisioning, organizing, and executing Christ-centered events that foster discipleship, community engagement, and spiritual growth. Rooted in Wooddale’s mission to honor God by making more disciples for Jesus Christ, this role ensures that every gathering—from worship nights to key events and volunteer celebrations—reflects the heart of the Gospel and invites people into a deeper relationship with Christ and His Church.

Reporting to the Chief Financial Officer, the Manager collaborates across ministries, mobilizes volunteers, and partners with Staff to create seamless, Spirit-led experiences that are both spiritually impactful and logistically excellent. The ideal candidate combines a passion for Jesus with strong organizational skills, creative vision, and a heart for hospitality and the church.

The Events Planner & Manager will oversee the strategic and annual planning process, and will lead and manage the planning, organization, and execution of all events and special memory-making moments throughout the year that engage the entire church family or specific groups in the life of Wooddale Church.

Essential Functions

  1. Event Life Cycle and Planning
  • Oversees the full event lifecycle: concept development, planning, logistics, execution, and post-event evaluation.
  • Develops and implements an 18-month event plan aligned with Wooddale’s mission and goals on a rolling-forward basis.
  • Structures the annual ministry-year planning process.
  • Defines key events and aligns the event planning process with the annual budgeting process.
  • Cross-functional alignment with the facilities team, ministries, and Volunteer Engagement to evaluate overall capacity and to optimize event flow and experience.
  • Translates Wooddale’s ministry goals and objectives into meaningful event experiences that foster engagement, discipleship, or member support.
  • Evaluates event impact and uses data to inform future planning and areas for improvement.

2. Event Design, Execution, and Project Management

  • Owns and manages the event calendar. Initiates and leads all key planning and coordination initiatives in close collaboration with all ministries and church functions. Operates as the central point of contact and coordination to all ministries and functions.
  • Leads the creation of event themes, schedules, and attendee experiences that reflect Wooddale’s values.
  • Manages timelines, budgets, and resources for multiple concurrent events.
  • Coordinates venue selection, vendors as needed, catering, A/V, décor, transportation, and safety protocols.
  • Ensures all events are inclusive, accessible, and missionally aligned.
  • Identifies and drives standardization and improvements in the event execution process.
  • Collaborates with the in-house Catering team on specific event plans and needs. Leads front-of-house for catered events.

3. Team Collaboration and Stakeholder Engagement

  • Works with Finance, Volunteer Engagement, and ministries to execute events in an effective and cost-optimized way.
  • Collaborates with the Communications team to promote events and increase visibility of the monthly event calendar.
  • Leads and mentors a team of volunteers and cross-departmental collaborators.
  • Facilitates communication between ministries, departments, or external partners to ensure alignment and excellence.
  • Provides training and support for volunteer teams to serve with confidence and hospitality.
  • Ensures that all events support the church’s mission of making disciples for Jesus Christ.
  • Collaborates with pastors and ministry leaders to integrate spiritual formation, worship, and outreach into event design.
  • Creates environments that are welcoming, Spirit-led, and conducive to transformation.

Qualifications & Skills

  • Bachelor's degree preferred.
  • At least three (3) years of professional experience required, at least five (5) years of professional experience is preferred.
  • Event management experience is required.
  • Ability to build effective professional working relationships internally and externally.
  • Exceptional organizational, project management, and time management skills
  • Budgeting and financial management expertise.
  • Effective communication skills, both oral and written
  • Possesses excellent attention to detail and ability to multitask and stay organized under tight deadlines.
  • Ability to work under pressure.
  • Subscribe to and affirm the Statement of Faith and Covenant of Wooddale Church.
  • Become or remain a member in good standing of Wooddale Church.
  • Be a regular participant in public worship at Wooddale Church.

Work Environment/Physical Demands

This job primarily operates in an office setting and will include using standard office equipment. The employee is regularly required to talk or hear and frequently required to stand, walk, use hands, and reach with hands and arms. The employee may occasionally be required to lift and move objects weighing up to 30 pounds. Specific vision abilities required by this job include close vision for reading documents and computer screens.
